Job Applicant Privacy Notice

Effective date September 10, 2018. Compliant with the Data Protection Act of Switzerland and the Regulation (EU) 2016/679 (General Data Protection Regulation (GDPR))

As part of any recruitment process, Debiopharm International SA, Debiopharm Research & Manufacturing SA, Debiopharm Investment SA, and Debiopharm Innovation Fund SA, which are all headquartered in Switzerland (collectively, “Debiopharm”) collect and process personal data relating to job applicants.

Debiopharm is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

 

What information do we collect

Debiopharm collects a range of information about you. This includes:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history;
  • information about your current level of remuneration, including benefit entitlements; and
  • information about your right to work in Switzerland.

Debiopharm may collect this information in a variety of ways.
For example, data might be contained in application forms, CVs (resumes), through interviews or other forms of assessment.
Data will be stored in our system and backed up in other IT systems (including email).

We will only collect data that is necessary for the purpose of searching and selecting suitable candidates in this process. There is no automated decision making taking place, and all information is assessed by people.

 

Why does Debiopharm process personal data

Given the nature of our search & recruiting activities, we need to process data in order to communicate with you on possible job opportunities.
Debiopharm has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process.
Processing data from job applicants allows us to manage the recruitment process, assess and confirm candidates’ suitability for employment, and enter into employment agreements.

If your application is unsuccessful, Debiopharm may keep your personal data on file for a limited period of time (as specified below) in case there are future employment opportunities for which you may be suited, but Debiopharm will do so only after obtaining your consent, which you may withdraw at any time in your sole discretion.

 

Who has access to data

Your information will be shared with staff members of Debiopharm or one of its affiliates for the purposes of recruitment. This includes members of Human Resources, the recruitment team and interviewers involved in the recruitment process. Only employees who are directly involved in the recruitment and selection procedure have access to your data. We will not provide information to third parties, unless we are required to do so by law.

 

How does Debiopharm protect your data

We take the security of your data seriously. Internal policies and controls are in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties.

 

For how long does Debiopharm keep data

Debiopharm will hold your data on file for the duration of the recruitment process. After closure of this process, your data will be kept for an additional time period of four (4) weeks, in case additional questions arise.

You may give Debiopharm consent to hold your data for two (2) years by ticking the relevant checkbox on the application form for future employment opportunities. You are free to withdraw your consent at any time, in your sole discretion.

 

Data location

Processing and storage of your data take place in Greece, Ireland, Switzerland, the United Kingdom of Great-Britain, and the United States of America. Debiopharm has taken appropriate measures to ensure an adequate level of protection of your data.

 

Your right to access your data

As a data subject, you have a number of rights. You may:

  • access and obtain a copy of your data on request;
  • require Debiopharm to change incorrect or incomplete data;
  • require Debiopharm to delete (right to be forgotten) or stop processing your data, for example where the data is no longer necessary for the purposes of processing.
